BOOKINGS OFFICER - JOB DESCRIPTION

PART TIME 24 HOURS A WEEK
The Bookings Officer has a varied and interesting role.  The activities at Plas Menai are wide ranging and the involvement with people is continuous.  This role is the key first point of contact for Plas Menai from customers, in person, over the phone, via email and by social media,  looking to use the centre for a range services e.g. Courses, activities, school and group bookings, conferences & meetings, corporate days and programmes, swimming, gym.
Primary objectives for the Bookings Officer will be:
 
To ensure that all the people who enter and contact Plas Menai receive a friendly, polite, efficient & bilingual service. 
To receive and manage all bookings for courses, pay and play activities, meetings and conferences, specialist courses and corporate activities,  ensuring customer service and income generation targets are met
To create a favourable first impression of Plas Menai meeting and greeting various clients (schools, groups, conferences etc)  and the general public as required 
To have a good range of knowledge regarding the whole range of activities, services and programmes at Plas Menai and communicate these with all customers, prospective customers and clients. 
To work as part of a team to ensure that customers' needs are understood and met. 
 
 
The Bookings Officer will focus day to day on the following tasks:
- To ensure a warm friendly and professional service with high standard of customer care at all times in order to generate customer loyalty.
- To Manage and process general activity and course bookings, school bookings, corporate bookings, conference and meetings bookings and all enquiries for these customer groups
- Produce all required weekly course manifests, Course Director and Teachers information packs for every school visit and as required  for instructional staff
- To assist the customers with their booking requirements and receive payments for use of the centre’s facilities, raising invoices and taking payments as required. 
- To follow the financial procedures with regards to cash handling, reconciliation of monies and the preparation of daily and weekly banking processes, track payments and chase payments where required
- To answer telephone calls efficiently and effectively within the company standards. 
- To have a good understanding of the Plas Menai social media platforms, including website and App so you can assist customers with any issues. 
- To operate the communication systems at the Plas Menai, such as radio comms with staff & telephones. 
- To communicate messages effectively to the rest of the Plas Menai team.
- To follow the procedures for new gym memberships and swimming lesson courses ensuring customer needs are met
- To operate a computerised front of house system which includes different booking systems and process payments for point of sale products.
- To promote and control items for resale 
- To work within the bookings team and be based on the front desk as required.
- To deal with customer complaints or comments as per the company procedures. 
- To keep the Bookings offices and front of house & reception area clean, tidy and a pleasant environment in which to work.
- To undertake any other duties as may be required to assist in the smooth running of Plas Menai.
- To be aware of all relevant Health and Safety policies/procedures for Plas Menai, to constantly enforce them with the public where necessary and to raise any concerns to management.
- Due to the nature of this role, please note that some evening and weekend work will be required within the role.  
 
THE CANDIDATE
 
QualificationsShould hold GCSE Maths and English Grade C or above, or a similar qualification.
Should hold a minimum of RSA level 1.

- Will have excellent  interpersonal skills and a friendly disposition.
- Will be able to operate tills and be competent in a variety of computer programmes.
- Strong interpersonal and customer facing skills.
- Will be able to maintain a high level of confidentiality. 
- Will be able to demonstrate good organisational skills.
- Will be able to communicate effectively with customers, clients and staff.
- Will be able to demonstrate clear identification with all customer requirements
- The ability to communicate through the medium of Welsh is essential 
 
CONDITIONS OF EMPLOYMENT
 
Title - Bookings Officer 
Reporting to - Sales and Marketing Manager 
Grade - Grade 4 - £25,316 - £27,911 Pro Rata
Annual Leave - 33 days’ paid annual leave per year plus bank holidays Pro Rata
Pension - Eligible employees will be automatically enrolled into 
NEST (National Employment Savings Trust) 
3 months after joining the Company
Notice Period - 1 Month
